Company Sponsor vs. VIP Portal Access
We offer two different administrative access models for organizations: VIP Portal Access and Company Sponsor Access.
VIP Portal Access is designed for organizations that have an established billing relationship with GBTS. VIP administrators can enroll learners into training without making individual credit card purchases, and training is billed through an agreed-upon invoicing arrangement, such as a Net 30 billing cycle. VIP administrators typically receive a broader set of administrative capabilities and are intended for organizations that manage training at a larger scale.
Company Sponsor Access, which is the focus of this article, is designed for organizations that need limited administrative capabilities without the full VIP relationship. Company Sponsors can manage learners within their organization, create user accounts, reset passwords, review training activity, download certificates, and purchase courses on behalf of their learners. However, course purchases must be completed using a credit card or other accepted payment method during checkout, and each purchase is made for a specific learner.
This access level is often a good fit for smaller organizations that want more control over their employees' training experience but do not require the expanded administrative features or invoicing arrangements available through the VIP Portal. Company Sponsors receive access to essential learner management tools while maintaining a simpler administrative model.
Overview
The Company Sponsor role provides designated company administrators with limited administrative access to manage their organization's learners. This role is designed to give employers greater control over employee training records and enrollments without granting full VIP administrative access.
Company Sponsors can:
- Manage users within their assigned company
- View learner activity and completed training records
- Download learner certificates
- Purchase training on behalf of learners within their company
Access is limited to learners associated with the sponsor's assigned company.
User Management
Company Sponsors can access the Users menu to manage learners within their organization.
Available Actions
Add New Users
Company Sponsors can create new learner accounts for employees within their company.
When creating new users, sponsors can:
- Enter required learner information
- Skip optional profile fields, if applicable
- Add learners directly to their company roster
Edit Existing Users
Company Sponsors can update learner account information, including:
- Username changes
- Password resets
- Requiring a learner to change their password upon next login
This functionality allows company administrators to assist learners directly without needing to contact LMS Support for common account management tasks.
View Learner Activity and Certificates
Company Sponsors can review an individual learner's training history through the User Personal Summary area.
Available Information
For learners within their company, sponsors can:
- View completed courses
- Review training activity
- Access course completion records
- Download course certificates
This allows employers to monitor employee training progress and retrieve certificates when needed for compliance, audits, or record-keeping purposes.
Purchase Training on Behalf of Learners
Company Sponsors can purchase courses for employees directly from the course catalog.
How It Works
- Browse the course catalog and select a course.
- Add the course to the shopping cart.
- Open the cart and select the option to purchase on behalf of another user.
- Choose a learner from the list of users assigned to your company.
- Confirm the learner selection.
- Complete the payment process using a credit card or other accepted payment method.
- The course will be assigned to the selected learner after the order is completed.
Important Notes
- Sponsors can only purchase training for users within their assigned company.
- Sponsors cannot purchase training for learners outside of their organization.
- Payment must be completed at the time of purchase.
- Each purchase is associated with a specific learner selected during checkout.
Company Sponsor Permissions Summary
The Company Sponsor role includes the following capabilities:
- Create new user accounts within the assigned company
- Edit user account information
- Reset learner passwords
- View learner training activity
- View completed courses
- Download learner certificates
- Purchase courses on behalf of learners within the assigned company
What Company Sponsors Cannot Access
Company Sponsors are not full VIP administrators and do not have access to platform-wide administrative functions.
Access is limited to:
- Learners within their assigned company
- User management functions described above
- Learner activity and certificate viewing
- Purchasing training for company learners
Company Sponsors do not receive the broader administrative capabilities or invoicing arrangements available through the VIP Portal.
